Cancellation policy
Cancellation terms are set out in the written quotation for your programme and confirmed at booking. This page explains how they are arrived at, so nothing on your invoice is a surprise.
Why there is no single percentage
- A chauffeured car cancelled a week out costs us almost nothing. A helicopter sector cancelled a week out has already consumed permissions, positioning and an operator’s commitment.
- So cancellation charges are quoted per service rather than as one site-wide figure, and they appear on your quotation before you confirm anything. If a service carries a strict term, we say so at quotation rather than at cancellation.
Services we control
- Vehicles, greeters, guides, assistants and interpreters are staffed by us. Cancelled with reasonable notice, these usually carry little or no charge.
- Close to the day the position changes, because staff have been committed and turned other work away.
Charters, permits and prepayments
- Private jet and helicopter charter, helipad and filming permissions, and anything requiring a prepayment to a third party are generally non-refundable once confirmed, in whole or in part.
- This is the operator’s or authority’s term rather than ours, and we pass it through without adding to it.
Weather and disruption
- Where a service cannot run because of weather, air traffic restriction or an act of authority, we will move it or provide the planned alternative wherever possible.
- Third-party charges already incurred and non-refundable to us — a positioned aircraft, an issued permit — remain payable. We will show you exactly what those were.
How to cancel
- Tell us in writing, by email or WhatsApp, as early as you can. The date we receive it is the date the charge is calculated from.
- Refunds due are returned by the same route the payment came in.
If we cancel
- If we cannot deliver a service we have confirmed, and it is not the result of an event outside our reasonable control, you are refunded in full for that service.
